Wage

£4.15 an hour. 35 Hours a week, Monday to Friday.

Vacancy description

To maintain an efficient high level of service in clerical and administrative procedures within the Practice and according to printed procedures relevant to the role. To provide a major source of communication between patient and GP.  

Roles and Responsibilities

Main Duties

Reception

  • Receiving patients
  • Routing patients
  • Dealing with patient enquiries
  • Making appointments and taking messages for all Primary Healthcare Team
  • Ensure that the surgery (Doctors' rooms and waiting rooms etc) are to the required    standard to receive patients

Telephone

  • Dealing with patient enquiries
  • Making appointments and taking requests for home visits
  • Taking messages for all members of the Primary Health Care Team
  • Liaising with hospitals and outside agencies such as Social Services etc
  • Use the Practice telephone system as per the Practice Standard

Clerical

  • Open daily post, both morning and lunchtime and date stamp/scan and distribute as appropriate, including faxes within outlined timescales and procedures. 
  • Data enter on to patients Medical Record as per the practice procedures and deal with appropriately. 
  • Return to sender any post that patient is unknown to us after doing relevant checks.
  • Ensure unnecessary duplication of information on computer.
  • Note any Deceased patients when scanning and act accordingly.
  • To scan documents from the ‘unscanned tray’.
  • Maintain good quality of scanning so that documents are legible and identifiable.
  • Be alert to Child Protection issues/reports and deal with them accordingly, as per procedures.
  • Photocopy / print out patients medical records as requested by Solicitor.
  • Use Word Processing software to produce documents as required.
  • Use Spreadsheet software to produce documents as required.
  • Communicate information electronically – sending and retrieving emails
  • Operate office equipment
  • Use the Practice telephone system as per the Practice Standards

  • To be able to prioritise and organise their work load
  • Can work well in a team

Qualifications

A* to C in English and Maths.
